We are currently seeking a dedicated Executive Assistant to provide high-level administrative support to the Headmaster and the Chair of Governors. The ideal candidate should possess extensive experience, exceptional organizational skills, and a proven track record of excellence. Type of contract: 1 year contract with mutual prolongation

Start date: October 2024

Main Responsibilities:

  • Support the Headmaster with daily administrative tasks.
  • Efficiently manage the Headmaster's schedule, including appointments, meetings, and events.
  • Act as a Minute Secretary in all administrative and strategic meetings of a Headmaster.
  • Monitor and prioritize incoming emails, drafting responses as needed and ensuring timely follow-up on action items.
  • Organize quarterly reports to the Board of Governors on the school's current performance and the strategic development plan.
  • Prepare correspondence, reports, speeches and coordinate a Headmaster’s meeting diary.
  • Undertake research on a variety of topics and make recommendations to the Senior Leadership team when required.
  • Maintain positive and professional relationships with internal staff, external partners, parents, and community members.
  • Manage and prioritize the complex demands of a wide range of duties and responsibilities on an everyday basis.
  • Work with Admissions, Marketing, Accounts and Academic teams when required;
  • Any other relevant school duties deemed necessary by the Headmaster.

Requirements:

Skills and qualifications:

  • A person with a higher professional education (that is essential) and +2 years work experience in an international environment is desirable.
  • English, Kazakh, and Russian languages at a fluent level;
  • Corporate correspondence and business etiquette;
  • Computer software packages, including 1C, Word, Excel, PowerPoint, Outlook, Google Drive, Google Meets, etc.;
  • Techniques of managing calendars, scheduling meetings, and coordinating travel arrangements efficiently;
  • Techniques of taking minutes during administrative/strategic/ operational meetings;
  • Basic local government regulations;
  • Familiarity with academic calendar and events;
  • Protocols for emergency situations and crisis management in a school environment;
  • Local community and key stakeholders involved in the school, including government agencies, educational bodies, and community organizations;
  • Basic knowledge of budgeting principles.
